Clarification regarding Directed Proxy Forms

posted 2022-10-22 13:03 by Kirk McDonald

There appears to be some misunderstanding on how a Directed Proxy form is used. A member can only complete ONE Directed Proxy. The Directed Proxy indicates all candidates and which position they are running for. Members CANNOT complete an individual Directed Proxy for each position.

On Election Night, October 30, 2022 when a Directed Proxy holder appears they will be verified that they are entitled to vote. The Directed proxy/proxies they hold will also be verified that they are legitimate and then the holder will be given a ballot for that Directed Proxy. Should another member show up with a second Directed Proxy for a member that has already been presented, that proxy will be confiscated and NO ballot will be given to the holder of this duplicate Directed Proxy.

It is contingent on the member filling out the Directed Proxy that they only complete one.

Should a member already have given their Directed Proxy to another member and want that Directed Proxy returned to them the holder MUST return that Directed Proxy to the original member filling it out.

If a Directed Proxy is presented and has errors in the completion no ballot will be given to the holder. One error will invalidate the entire Directed Proxy. Errors can be 1) Incorrect names for candidate positions, THIS INCLUDES SPELLING ERRORS OF CANDIDATES NAMES 2) Missing signature, 3) Names not printed where indicated, 4) Date missing, 5) Member's name or number missing, 5) Directed Proxy holder's name or number missing.

If a member is out of town and wishes to complete a Directed Proxy they can either take a picture or scan the document and send to their designated holder. The holder must have a printed paper Directed Proxy to present when entering AR1. Alterations to the printed Directed Proxy form will be examined and may result in disqualification. Members that are in town are expected to be able to give their original Directed Proxy to their holder and not resort to an electronic method.
